Manage Teacher Accounts and Seats

Updated in September 2026

School IT administrators manage teacher accounts and faculty access through the central School Administration Portal. Each faculty member receives an individual educator account with their school email address and personal credentials.

Adding Educators and Assigning Seats

  1. Log in to the school administration portal using your verified administrator credentials.
  2. Navigate to the faculty overview and select Add Teacher.
  3. Enter the educator school email address and assign an available volume license seat.
  4. The teacher receives an onboarding invitation and sets their secure password.
  5. All personal lesson folders, saved whiteboards, and class rosters remain protected within the teacher private account.

Managing Passwords and Access Credentials

  1. If an educator forgets their password, administrators can trigger a direct password reset link from the admin dashboard.
  2. The teacher receives a temporary reset email and configures a new password upon login.
  3. Individual profile settings, language preferences, and visual themes can be customized by each teacher independently.

Removing Departing Staff and Adjusting Seats

  1. When a teacher leaves the school, remove their account seat within the school management console.
  2. Remind departing staff members to back up personal lesson collections prior to departure using Export all data as file. The process is explained in Saving a Whiteboard.
  3. Subscription billing updates automatically starting with the subsequent monthly or annual billing cycle based on active faculty seats.
  4. Pricing remains predictable at $1.49 per teacher per month for active accounts, scaling flexibly with your staffing needs.

Student teachers and temporary substitutes do not require permanent volume seats: student teachers receive permanently free access with verification, and short-term substitutes can use the free whiteboard without signup.

Spontaneous Teaching Without Accounts

Guest teachers and substitutes can always open the whiteboard on classroom projectors immediately without logging in. School volume licensing combines the instant accessibility of browser-based tools with managed cloud synchronization for regular faculty.

School volume licensing starts at 10 teacher accounts. If your team is smaller, individual Premium accounts can be configured through our School Licensing page.

Summary

Administrators manage staff access through the central portal: invite faculty, reset credentials, and reassign seats when staffing changes. Invoices adjust automatically with your active seat count.
